Privacy Policy of Vintagebulk
Vintagebulk highly values your privacy. Therefore, we only process data that we need for (improving) our services and handle the information we collect about you and your use of our services with care. We never provide your data to third parties for commercial purposes.
This privacy policy applies to the use of the website and the services made available through it by Vintagebulk. The effective date of these terms is 25/03/2025. Publishing a new version renders all previous versions invalid. This privacy policy explains which data we collect about you, how we use it, and under what conditions it may be shared with third parties. It also explains how we store your data, protect it from misuse, and which rights you have regarding the personal data you provide to us.

E-commerce Software
Shopify
Our webshop is built using Shopify software. Personal data you provide for our services is shared with Shopify. Shopify has access to your data to provide us with (technical) support and will never use your data for other purposes. Under our agreement, Shopify is obliged to implement appropriate security measures, including SSL encryption and a strong password policy. Shopify is a certified processor of credit card data. Shopify uses cookies to collect technical information regarding your use of the software; no personal data is collected or stored. Shopify reserves the right to share collected data within its corporate group to improve its services. Shopify complies with applicable legal retention periods for personal data. The EU/US Privacy Shield applies, and your data may be processed in the United States.
Email and Mailing Lists
Klaviyo
Our website uses Klaviyo, a third-party service that handles website emails and newsletter distribution. All confirmation emails sent from our website and web forms are sent via Klaviyo’s servers. Klaviyo will never use your name or email address for its own purposes. Each email sent automatically from our website includes an ‘unsubscribe’ link. Clicking this link will stop emails from our website but may impair website functionality. Your personal data is stored securely by Klaviyo. Klaviyo uses cookies and other internet technologies to track whether emails are opened and read. Klaviyo reserves the right to use your data to improve services and, in that context, may share information with third parties.
Gmail
We use Gmail for regular business email. Gmail has implemented appropriate technical and organizational measures to prevent misuse, loss, or corruption of your and our data. Gmail does not access our inbox, and all our emails are treated confidentially.
Payment Processors
Mollie
We use Mollie to process payments in our webshop. Mollie processes your name, address, city, and payment data such as bank account or credit card information. Mollie implements appropriate technical and organizational measures to protect your personal data. Mollie reserves the right to use your data to improve services and, in that context, may share (anonymized) data with third parties. All the above protections regarding personal data also apply to Mollie’s services that involve third parties. Mollie retains your data only as long as legally permitted.
Reviews
Trustpilot
We collect reviews via Trustpilot. When leaving a review, you must provide your name and email address. Trustpilot shares this information with us so we can link the review to your order. Sometimes Trustpilot may contact you for clarification. If we invite you to leave a review, your name and email address are shared with Trustpilot solely for this purpose. Trustpilot has implemented appropriate security measures and may engage third parties for service provision, for which we have granted permission. All previously mentioned safeguards apply to such third-party engagement.
Shipping and Logistics
DHL
When you place an order with us, we use DHL to deliver your package. For this, we share your name, address, and city with DHL. DHL uses this information solely to fulfill the delivery. If DHL engages subcontractors, your data may also be shared with them.
Billing and Accounting
External Accountant
We use an external accountant for bookkeeping and administration. We share your name, address, city, and order details for invoicing purposes. Personal data is transmitted and stored securely. The accountant is bound by confidentiality and will not use the data for other purposes.

Purpose of Data Processing
General Purpose
We use your data solely for our services. Data processing is always directly related to your order. We do not use your data for targeted marketing. If we wish to contact you later for other purposes, we will explicitly ask for your consent. Data is only shared with third parties to meet accounting and administrative obligations. These third parties are bound by confidentiality or legal obligations.
Automatically Collected Data
Data automatically collected by our website (e.g., IP address, browser, operating system) is used to improve our services and is not considered personal data.
Compliance with Legal Requests
Vintagebulk may be required by law to share data for tax or criminal investigations. In such cases, we are obliged to comply but will contest requests within legal limits.
Retention Periods
We retain your data as long as you are a client. Your profile is kept until you request deletion. Upon such a request, your data will also be treated as a "forget request." Data is not kept longer than two years after the last transaction or contact unless legally required. Invoices are retained according to statutory retention periods. Employees no longer have access to your client profile or related documents after processing.
